PayNow Fee Collection for Tuition Centres: A Practical Guide
Almost every tuition centre in Singapore already takes PayNow. Very few use it well. The difference is about five hours a month and a stack of screenshots.
PayNow is the obvious rail for school and tuition fee collection in Singapore: parents already use it daily, transfers land instantly, and there’s no card machine or terminal rental. If you run a centre, you almost certainly have a PayNow number or UEN taped to the reception desk already.
The problem was never getting paid by PayNow. It’s everything around it.
How most centres use PayNow today — and where it hurts
The typical setup looks like this. One static QR code (or just the centre’s UEN) is printed at the counter and pasted into WhatsApp when fees are due. Parents transfer whatever amount they believe they owe, whenever they remember, and send a screenshot as proof.
Then the real work starts:
- Matching payments to students. The bank statement says “PAYNOW TRANSFER — TAN M L, S$380.” Which Tan? Which child? Which month? If the parent typed no reference — most don’t — someone plays detective across the statement, the fee spreadsheet and a WhatsApp thread.
- Wrong amounts. A static QR has no amount attached, so parents type it themselves. They pay last term’s rate, forget the second sibling, or round down. Now you’re chasing a S$20 shortfall, which is more awkward than chasing a whole invoice.
- Screenshot bookkeeping. Screenshots arrive in three different chats, out of order, sometimes cropped past the reference number. Reconciling them against invoices becomes a weekend ritual for the owner or a senior admin — the most expensive person in the building doing data entry.
- No real-time picture. Until reconciliation happens, you genuinely don’t know who’s paid. Reminders go to parents who already transferred, which annoys them, or don’t go to parents who haven’t, which costs you.
None of this is PayNow’s fault. It’s what happens when an instant payment rail is bolted onto a manual invoicing process.
PayNow done right: one QR per invoice
The fix is a small change with outsized effects: stop using one static QR for everyone, and put a unique PayNow QR on every invoice, generated with the exact amount and a reference that identifies the invoice.
That single change does four things at once:
- The amount is always right. The QR carries it. Parents can’t underpay or pay a stale rate.
- The reference is always present. Every transfer arrives pre-labelled with the invoice it settles. The detective work disappears.
- Paying gets faster. Scan, confirm, done — from the invoice email, the parent app, or a printed page. No typing, no hunting for your UEN. Faster payment paths measurably mean earlier payments.
- Screenshots become pointless. The payment identifies itself, so nobody needs to send proof. Your WhatsApp goes back to being about schedules and children.
You can generate dynamic PayNow QRs through your bank’s business tools and attach them to invoices by hand. It works — but at 100+ invoices a month it’s simply a new flavour of manual work. This is really a job for your invoicing system.
